The 5 Step Process

Here are the 5 steps in the process

  1. Initial consultation which is free of charge and without obligation.
  2. Sign up for a subscription to the Hygeian Management System.
  3. Purchase Temperature Monitoring Hardware.
  4. Implement Tasks, Checklists and Schedules.
  5. Finalise the settings of the Temperature Monitoring System.

Initial Consultation

The first step is to book an online no-obligation discussion with the friendly team at Hygeian during which the system requirements will be defined. At the end of this discussion, you will have a clear understanding of the most important aspects of the system and be ready to purchase your system subscription and your hardware, which will then be shipped to site.

The following system capabilities and your requirements will be covered::

  1. Defining the structure of the enterprise, the individual sites and the locations on those sites.
  2. Defining who will be the administrator of your system.
  3. Continuous temperature monitoring, alarming and recording of food, fridges, freezer, bain-maries, dishwashers etc.
  4. Spot checking of food temperatures.
  5. Waste identification and management.
  6. Staff activity tasks, checklists and schedules
  7. Staff training system.
  8. Detailed reporting.

Your Hardware Requirements

The site has locations where temperatures are going to be measured and activities will take place.

After defining the temperature locations, the number of temperature transmitters will be known.

Normally the standard WTX-275’s will be selected for the fridges, freezers and other continuous temperature monitoring and recording. The WTX-275-EXT’s should be selected only for those locations that are heavily shielded by concrete and steel or more than 75m from the closest gateway locations.

The SPX-100 temperature probes will be selected for spot checking food temperatures. They can work to any of the gateways on site.

During the discussion, the choice of Gateway type (WiFi or 4G) will be made. WiFi gateways transfer data to the Hygeian System using your own WiFi network. Your IT people may prefer your gateways to operate independently of your WiFi system, in which case you would select the 4G version. The 4G version has a further advantage is that it will continue to transfer data to the Hygeian System for up to 9 hours in the event of a power outage.

Ordering the Site Hardware:Hygeian Food Safety Management System Hardware

Proceed as follows:

  1. Go to the Hygeian System Product Page
  2. Select the number of WTX-275 required on each site. Add to cart.
  3. Select the number of WTX-275-EXT required on each site. Add to cart
  4. Select the number of SPX-100 required on each site. Add to cart
  5. WTX-RCP Receptacles are automatically included for each WTX or SPX purchased, so there is no need to order extras initially.
  6. Select the number and type of Gateways required on site and add to cart.
    1. GW-100-WiFi gateways with WiFi connection
    2. GW-100-4G gateways with 4G connection
  7. Complete the purchase of the hardware which will then be shipped to site.

Hygeian HACCP Food Safety Management System Subscriptions Setup

There are three types of data/software subscriptions:

They can be purchased as annual or monthly subscriptions. Annual  subscriptions are 8 x the monthly subscriptions, meaning four months per year are effectively free if annual subscriptions are chosen.

  1. Access to the complete Hygeian Food Safety Management System Software. This can be set up as a monthly or annual subscription
  2. Data Access for field equipment. The first year of data access is already paid for in the purchase price of the hardware.
  3. 4G Telstra connection for GW100-4G gateways. The first year of 4G connection is already paid for in the purchase price of the GW-100-4G gateway.

Once Hygeian is notified that the equipment has been ordered, they will be in touch to request the details of the admininstrator of the enterprise and sites. Once those details are invitations will be sent out to those people to allow them access to the system to the levels required. Once those individuals have accepted the invitations and created their passwords Hygeian will set up the roles of those people received, they will take you through the on-boarding process. This includes:

  1. Setting up your Enterprise details, site details and the location names on each site.
  2. The site administrator will also be set up and given access to the system.

Cancellation of Hygeian HACCP Food Safety Management Subscription

You may cancel your prepaid subscription at any time. It will continue until the end of the current prepaid period. After that, no more data will be received from the on-site hardware.

Setting up the Hygeian HACCP Food Safety Management System

Once the equipment is on site and deployed, Hygeian will assist you in learning how to complete your system configuration. This process includes:

  1. Inviting additional team members to participate in using the system and defining their user authorities.
  2. Allocating the wireless transmitters to the locations created on site according to their unique serial numbers. (labels printed on the back of transmitters).
  3. Configuring alarm setting for each wireless transmitter
  4. Setting up Food spot Checking.
  5. Setting up Waste Management
  6. Defining tasks, checklists and schedules.
  7. Setting up staff traning.
  8. Setting up regular reporting

Subscriptions after the First Year of Operation.

The Hygeian Food Safety Management System Subscription will already have been set up.

After one year of operation, the subscriptions for data and 4G connection (if 4G has been chosen) must be set up.

    2. WTX-DAT-MTH Monthly Data Access subbscription
  2. Telstra 4G connection (If a 4G Gateway has been chosen)
    1. GW-4G-ANN Annual Telstra connection
    2. GW-4G-MTH Monthly Telstra connection

Permanent Warranty and Annual Transmitter Exchange

After a year of initial operation, the on-site WTX-275 WTX-275-EXT and SPX-100 temperature transmitters and probes require new batteres and calibration recertification. This is an ongoing optional but recommended service offered by Hygeian as part of its comprehensive Food Safety Management System,. Click here to purchase these subscriptions

Monthly paid: WTX-WPE-MTH

Annually paid: WTX-WPE-ANN

If you subscribe to this service, you will automatically receive replacement transmitters for each location every 12 months. Once the replacements have been placed in those locations, the replaced instruments must be returned to Meascom within 30 days using the same transport packaging provided for the replacement transmitters. Hygeian will refurbish the replaced transmitters and redeploy them. If the replaced transmitters are not returned within 30 days of the changeover date, Hygeian will regard them as lost and you will be automatically debited for the difference in price between the new transmitter and the WTX-WPE-ANN subscription.
